Job Description

Post Title: Activities & Volunteer Assistant 

Reports to: Activities & Volunteer Co-ordinator 

Working Hours: 21 hours per week

Contract: Permanent 

Salary: £15.12 -£17.86 /hr based on experience (£27,518 – £33,415 FTE) 

Location: Dementia Jersey office, St Helier

Overview  

Dementia Jersey offers advice, support and education across the island to anybody affected by dementia. We seek to raise awareness and improve understanding of dementia, working to make Jersey a more dementia friendly island where all those affected by dementia are understood, welcomed and supported.   

Purpose of post

The Activities & Volunteer Assistant will be responsible for providing day-to-day administrative support to the Activities & Volunteer Co-ordinator. 

The postholder will assist the Activities & Volunteer Co-ordinator in the delivery and expansion of tailored therapeutic activities and social events for people with dementia, family members and carers and provide administrative support in the management of Dementia Jersey’s committed team of Volunteers. 

Line Management Responsibility 

There is no line management responsibility with this role. 

Main Duties and Responsibilities 

This is a varied role with responsibilities including but not limited to: 

  • Attend and co-ordinate activities from across our programme as required and confidently coordinate volunteers and engage with attendees, ensuring feedback and queries are addressed. 

  • Support the expansion of existing activities with waiting lists enabling Dementia Jersey to pilot running them twice a week, to meet the demand for our services.

  • Support the Activities & Volunteer Co-ordinator to scope, design and develop new therapeutic activities for people with dementia and their carers including activities specifically for male carers, ensuring all activities remain person centered.

  • Support the growth of our team of volunteers to expand the activity programme and undertake administrative tasks in relation to activities and volunteers including updating and maintaining the database of activity and volunteer attendees; co-ordinating and emailing reminders to attendees ahead of each activity.

  • Assist the Activities & Volunteer Co-ordinator in collating and managing volunteer HR records.

  • Collate and draft content relating to activities and volunteers for the Charity’s newsletter and social media and support the promotion of the activities via local groups.

  • Assist with undertaking attendee feedback surveys to ensure that activities and events are fit for purpose, beneficial, safe and stimulating.

  • Support the Activities & Volunteer Co-ordinator in the co-ordination of ad-hoc community events, such as outings, tea parties or cinema trips.

  • Deputise for the Activities & Volunteer Co-ordinator as appropriate.

  • Ensure the welfare of all clients is safeguarded at all times.

  • In addition to the duties and responsibilities listed above, from time to time you may be required undertake other tasks, duties or projects which may arise and are commensurate with the general level of this post.

  • Work within the requirements of the Dementia Jersey Employee Handbook.

Person specification 

Essential Skills & Experience:    

  • GCSEs in Maths and English grade C and above (or equivalent qualification)

  • Delivering activities and presenting both face-to-face and virtually

  • Excellent written and verbal communication skills with fluency in English

  • Organisational skills and ability to prioritise own workload and manage competing priorities

  • Enthusiastic, empathetic, approachable and engaging

  • Creative, with a person-centred approach and can-do attitude

  • Able to work flexibly to meet the needs of the organisation and our clients

  • Excellent communication and listening skills with fluency in English

  • Knowledge of Office 365, particularly SharePoint and Excel

  • Ability to work under pressure

  • Ability to take responsibility for own workload and to work on own initiative

  • A car owner with a clean driving licence is essential.

Desirable Skills & Experience 

  • An understanding of dementia

  • Previous experience of assisting in the co-ordination and delivery of community activities and/or events

  • Basic knowledge of data protection & health and safety principals

  • First Aid trained (or the ability to undertake this training).

Additional Information 

Five years residency is required for this role.

The post-holder needs to be able to work on a flexible basis to ensure the activities run smoothly and therefore is required to visit activities throughout the week.

Due to the nature of this role, there may be times where equipment needs to be transported, lifted and/or carried, therefore a certain level of fitness is needed.

There may be times when the post-holder needs to work on a weekend or on a Bank Holiday.

A satisfactory DBS check will be required as part of the recruitment process.
